OVERVIEW
We are actively pooling Podcast Virtual Assistants to support podcast hosts, production teams, media brands, and content creators across a wide range of industries.
Podcast VAs play a critical role in the operational, marketing, and administrative side of podcasting. This role is not limited to editing and does not require on-camera work. Instead, it focuses on keeping podcast workflows organized, consistent, and scalable.
The ideal Podcast VA is process-oriented, detail-driven, and comfortable working across content workflows, often supporting episode production, guest coordination, publishing, promotion, and backend organization.
Candidates may come from related backgrounds such as social media management, digital marketing, content operations, media coordination, or executive/administrative support. Prior podcast experience is a plus but not required.
INTERNAL TRAINING REQUIREMENT
To be considered for active Podcast VA placements, candidates will complete a short, self-paced internal training provided by our company.
This training includes:
- An overview of the Podcast VA role and common client workflows
- Introduction to podcast production and publishing processes
- Exposure to podcast-related AI tools and workflow automation
- Best practices for supporting podcast hosts and media teams
This training ensures all Podcast VAs enter client engagements with a baseline understanding of podcast operations and modern AI-enabled workflows.
KEY RESPONSIBILITIES
Podcast Workflow & Operations
- Support end-to-end podcast workflows including episode scheduling, tracking, and coordination
- Maintain episode trackers, content calendars, and SOPs
- Assist with publishing workflows across podcast platforms
- Ensure episodes move smoothly through each stage of production
Guest & Communication Support
- Assist with guest outreach, scheduling, confirmations, and follow-ups
- Prepare guest onboarding materials and reminders
- Maintain organized records of guest communication and episode status
Marketing & Content Support
- Assist with podcast promotion across social media, email, or websites.
- Repurpose podcast content into written summaries, clips, captions, or promotional posts (training provided).
- Support basic content scheduling and consistency across platforms.
- Help organize and manage content assets (audio files, transcripts, graphics).
Administrative & Organizational Support
- Manage inboxes related to podcast communication
- Maintain clean file structures and shared drives
- Assist with documentation, templates, and workflow improvements
- Support light research and reporting tasks
AI & Tool-Assisted Support
- Use AI tools to assist with show notes, summaries, content repurposing, and workflow efficiency
- Learn and apply new tools as podcast workflows evolve

QUALIFICATIONS
- Strong English communication (written and verbal).
- Experience in admin, content, marketing, or media support roles.
- Familiarity with social media platforms and content workflows.

- Ability to work independently with clear direction and follow-through.
